Antonine University (UA) recognizes that students may face exceptional circumstances during their academic journey. To ensure fairness, transparency, and equal treatment, students are entitled to submit formal petitions and are expected to comply with attendance and academic policies as outlined below.
1. Student Petitions
Students may submit official petitions in the following cases:
Absences
- Students who are absent for valid reasons may submit an Absence Petition Form with supporting documentation.
- Approved absences are recorded for reference purposes but remain part of the student’s official academic record.
Grade Re-evaluation
- If a student believes an error occurred in the grading of an exam or assignment, they may submit an Exam Correction Petition.
- If the review confirms an error, the grade will be adjusted accordingly.
Missed Exams
- Students who miss an exam due to exceptional circumstances (e.g., death of an immediate family member, hospitalization or serious medical emergencies, or documented accidents) may submit a Make-up Petition Form with the required documentation.
Important: All petitions must be submitted within the deadlines set by the Office of Examinations (OOE) and must include valid justification and supporting evidence.
2. Student Attendance Monitoring
Official Drop / Withdrawal
- Students may officially withdraw from a course before the end of the add/drop period.
- This automated process carries no penalties, does not appear on the academic transcript, and exempts the student from paying tuition fees for the withdrawn course.
Class Attendance and Conduct
In accordance with the directives of the Directorate of Higher Education (Ministry of Education and Higher Education) and Article 140 of the Organic Statute:
- Students must comply with official schedules and academic regulations.
- Late arrivals are not admitted to class sessions.
- Students may not leave the classroom before the session ends once it has begun.
Academic Responsibilities
- Attendance is mandatory starting from the first scheduled class session.
- In case of absence, students must notify the instructor by email and take responsibility for compensating missed learning (reviewing material and completing assignments).
- An Absence Petition Form with supporting documents must also be submitted via SIS.
Participation
- Active participation is essential to effective learning. Students are expected to engage in discussions, ask questions, and provide required learning materials.
Minimum Attendance Requirement
- A minimum attendance rate of 70% is required for all courses.
- Maximum absences tolerated:
- 9 sessions (1.5 hours each) for a 3-credit course
- 6 sessions (1.5 hours each) for a 2-credit course
- 3 sessions (1.5 hours each) for a 1-credit course
- Arriving more than 15 minutes late or leaving early counts as an absence.
- Absences incurred before late enrollment are included in the attendance record.
- Students who exceed the allowable absence limit may be withdrawn from the course and barred from sitting for the final exam unless valid documentation is submitted to the OOE for review.
Recording Attendance
- Faculty members are responsible for recording attendance on SIS during each class session.
Attendance Warnings
- When two consecutive absences occur, an automated warning is sent via SIS to the student, instructor, and academic advisor.
- Warning thresholds are based on cumulative absences:
- 9 absences for a 3-credit course
- 6 absences for a 2-credit course
- 3 absences for a 1-credit course
3. Academic Grade Review Procedure
This procedure allows students to request a formal reassessment of grades in cases of suspected error, ensuring fairness and transparency while respecting instructors’ academic judgment.
Grade Correction Process
Submission
- Students must submit the Exam Correction Petition Form exclusively through SIS within 7 working days of receiving the graded exam.
- Late submissions may be rejected.
Initial Review
- The OOE reviews each petition in consultation with the instructor to verify compliance with procedural requirements.
Evaluation and Outcome
- If no error is found:
- The petition is denied.
- A non-refundable processing fee of $25
- If errors are confirmed (e.g., miscalculation or incorrect grade entry):
- The petition is approved.
- The grade is corrected in SIS.
- The $25 fee is refunded.
Make-up Exams
All examinations at UA follow official schedules established by the faculties. Make-up exams are exceptional and require prior approval from the Office of Examinations (OOE). Not all petitions are approved. The OOE reviews and oversees all make-up exam requests to ensure fairness, consistency, and compliance with University regulations.
General Principles
- Petitions must be submitted within 48 hours before or after the scheduled exam.
- Approval is confirmed only via SIS; students should not assume approval until notified.
- Accepted circumstances include:
- death of an immediate or first-degree family member (parent, sibling, spouse, or child);
- hospitalization or serious medical emergencies;
- car accidents or other serious incidents (with official documentation).
- Non-acceptable justifications include travel, personal events, family gatherings, interviews, or competitions.
